Herts Mind Network, (HMN) is a rapidly growing charity providing an essential and diverse range of mental health support across Hertfordshire. We have 7 Wellbeing Centres across the County and services include Crisis intervention, Complex needs and Community outreach, Peer and group support, Wellbeing and Counselling, Training and Education: for adults, young people and children in Hertfordshire.

Contract: Permanent
Working base: Watford Wellbeing Centre/Borehamwood/Waltham Cross (with ability to travel to locations in Herts if required)
Reports to: Head of HR

Purpose of Post 
As an HR Co Ordinator we would expect you to have a strong customer service focus with a remit of providing high quality and accurate effective HR administration service relating to the recruitment, onboarding and employee lifecycle processes and procedures.  This role is the first line of support for a current headcount of 165 employees.

Key Responsibilities

  • Administrate recruitment needs, filing and shortlisting CV’s for line managers
  • Action external advertising of roles and record of recruitment activity
  • Scheduling and coordinating interviews via telephone/email outlook
  • Undertaking all pre-employment and safer recruitment checks (e.g. right to work checks, DBS clearances and reference checks).
  • Issuing conditional offer letters and contracts of employment in line with statutory timescales for new starters.
  • Notification to payroll of New starters, changes and leavers
  • Accurately creating New Starter profile on Breathe HR, Ihasco LMS
  • Responding to external request for references for staff and other general requests (e.g. employee confirmation letters).
  • Monitoring and tracking of probation reviews.
  • Provide support for the Head of HR with HR matters, such as notetaking or general terms and conditions guidance to employees.
  • Management of the leaver process, including acknowledgement of resignations, exit interviews and leaver notification to payroll and all relevant areas.
  • Ensure all current and archived paper based and electronic HR files and records, including individual staff files, are maintained and kept in a well organised system.
  • Auditing personnel files periodically to ensure all necessary documentation are in place and can be evidenced.
