We are seeking an enthusiastic individual to provide administration support to the busy teams.
Office responsibilities include:
- Assisting the Sales and Lettings teams and therefore allow them the scope and time to secure further business.
- Ensure compliance with all relevant legislation.
- Ensure that Property Particulars are well presented and approved by our clients.
- Overseeing company processes.
- Reporting key data to senior management.
- Updating tracking spreadsheet for Sales and Lettings.
- Update and maintain PropCo and RPS letter templates.
- Uploading contracts onto Adobe Sign and DocuSign.
- Ensure key info such as lease length, tax banding etc. is inputted onto our CRM’s.
- Monitor outstanding EPCs.
- Assist the Sales and Lettings teams to ensure compliance with Anti-Money Laundering Regulations.
- Assist the Sales and Lettings team with photo and video ordering and editing.
- Email memorandum of sales to all parties.
- Build, order and supply window cards to Sales and Lettings branches and ensure office windows are refreshed.
- Design and send leaflets to the printers, distribute to branches.
- Board ordering for both Sales and Lettings.
- General office duties; ordering stationery, booking viewings, printing details, key audit etc.
- Document management – scanning, saving, managing Sharepoint filing system etc.
- Completing forms and paperwork – collating information, organising signatures, covering letters, emailing or posting back.
- Organising meetings and diary management.
- Writing up reports/minutes from notes.
- Producing standard documents and maintaining a template system for those documents.
- Reconcile a system for checking and monitoring key dates or events that need to be tracked or flagged.
- Keeping the office and boardroom etc. tidy.
- Post.
- Helping to organise parties, quarterly and annual awards functions.
- Making drinks for guests and meeting.
Skills:
IT literate and experience of Word, Excel, Teams, Sharepoint and similar, etc.
Confident with creating and maintaining spreadsheets.
Competent maths ability.
Confident.
Personable and outgoing.
Good verbal skills.
Competent writing skills.
Organised.
Excellent Admin skills.
Hard working and driven.
