Salary: £31,200 – £32,400 per year
Our client, a leading private clinic in Marylebone are looking for Customer Service/Front of House Executives to join their expanding team
Duties & Responsibilities
* To provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals and others.
* To act as the first point of contact for patients contacting the Clinic and to portray the Clinic in the highest possible professional basis.
* To ensure that enquiries from patients are efficiently and courteously handled to the mutual satisfaction of the partners and patients
* Greet patients and visitors to the practice.
* Book in, amend and cancel outpatient clinic bookings in line with practice bookings procedures ensuring optimum efficiency of the outpatient booking system.
* Conduct enquiry follow ups and convert patients from enquiry to booking.
* Responsibility of the everyday checklists.
* Preparation of patient records, labels, filing, scanning and archiving.
* Respond and/or redirect all patient and visitor requests accordingly.
* Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed.
* Preparation of refreshments for all the patients, clinicians and visitors
* Advise patients for any delays, cancelations or any changes that have occur on the day.
* Opening and closing the building as per checklists.
* Contribution to team effort by accomplishing related results as needed.
* Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.
* Undertake administration tasks as allocated on rota.
* Action start and end of day procedures.
* Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).
* Check emails on a daily basis.
* Data protection and confidentiality of patients.
* Maintain safe and clean reception area by complying with procedures, rules, and regulations.
* Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
Qualifications
Good standard of Education including English and Maths at
GCSE Grade C or above (or equivalent)
NVQ in customer or patient service desirable
Experience
* Proven experience of effective customer or patient experience
* Working in high pressure environment
* Tactful handling of sensitive queries and questions
* Acting on own initiative to deliver a high quality experience
* Working effectively in a high pressure environment
* Private healthcare or hospitality industry experience a strong advantage
Key Skills
* Ability to communicate effectively and compassionately with patients and families even when challenging situations present
* Ability to work on your own and within a multi-disciplinary team
* Good understanding of IT including use of word, excel, and office applications

* Relating to diverse people from various backgrounds
You will need to be charismatic and friendly with a postive ‘can-do’ attitude
You must have good verbal and written communication style, you will be a team player doing the right thing for the collective team
Salary £31,200 – £32,400
