Job Description
Reed secure are working in alignment with the UK’s largest Law Enforcement organisation! They require a Data Access Request Administrator to join the Data Office a new directorate within the organisation.
The incoming individuals will work in the Data Office Triage Team, your work will support units across the Data Office. However, the majority of the work will be undertaken in support of the Information Rights Unit.
This role will involve you managing incoming demand for the unit which includes monitoring and responding to emails received by our public facing mailbox as well as opening and dealing with incoming post.
As Triage Officer you will also be responsible for dealing with cases that fall within the lowest complexity category and therefore this work includes the obtaining and reading of crime reports as well as the consideration of what information is suitable for disclosure and finally the issuing of that disclosure.
This is an excellent role for anyone that wants to move into Information Law as it provides the role holder with a strong foundation knowledge of both the legislation and of the workings of the Information Rights Unit and the wider Data Office.
This is a busy team, at peak processing more than 900 DPA request and 450 FOI requests a month, with email enquiries being on top of those figures. However it is a friendly and supportive team which currently consists of 17 team members working under 3 team leaders.
The hourly rate is £13.15 per hour PAYE, rising to £17.90 per hour PAYE at 12 weeks.
Your core duties will include:
- Receiving requests and enquires from the public via our busy mailbox or through the post.
- Making sure posted correspondence is digitalised so that it can be recorded on our system and processed remotely if necessary.
- Responding to enquiries with the correct standard reply and taking part in more ad-hoc enquiries with support from your line manager
- Logging requests on the system
- Checking the system for duplicates before creating a new case on the system
- Reviewing each request against the relevant checklist.
- Making decisions on what actions are required for each specific request
- Case management for low complexity requests. Cases that you have identified as “quick wins” are to be completed within the team. For certain offence types you will be required to access the crime report.
- Dispatch service – as part of the support to the Data Office the team provide a dispatch service where material is printed out and posted to members of the public.
Essential Criteria:
- Basic understanding of the Data Protection Act 2018
- Basic understanding of the General Data Protection Regulation (GDPR)
- Basic understanding of the Freedom of Information Act (FOI)
- Willingness to expand your knowledge of the above areas
- Excellent customer service and communication skills
- The ability to carry our fast paced work
- The ability to make and evidence decisions within the frame work provided
- The ability to work under pressure and prioritise work to ensure legal deadlines are complied with
- Strong IT skills with Microsoft Office products and the ability to learn and adapt to bespoke software (CycFreedom)
Desirable Criteria:
- Experience of working within a busy team (for example monitoring a fast paced mailbox)
- Knowledge of Police systems i.e. CRIS, CAD Lite/CAD Archive, IIP etc.
- Experience of working within a legal framework and working towards statutory deadlines.
