2 x International Operations Coordinators required to join the Logistics department of a global exhibition and events organisation based at Excel, London.
Both positions are on a permanent full time basis offering a salary range from £24,000 – £33,600 dependant on experience.
Our client is seeking 1 x Trainee and 1 x experienced Coordinator to join their in house Logistics team, if you have previous experience in Exhibitions/Events or Logistics click attaching your CV and salary expectations.
Due to location, a car driver with own transport is preferred but not essential.
Job Purpose
Reporting to the International Operations Manager the role of Coordinator is to deliver profitable and quality driven logistics operations to global events where our client is appointed as official provider or for clients with ad hoc shipments to/at events in UK and/or overseas.
Key activities and responsibilities
- Provide profitable, quality driven delivery of ad hoc client shipments to UK and international events through effective implementation of freight management and Customs procedures.
- Provide effective support to logistics operations at events
- Deliver consistent high quality operations to position our client as the premier logistics player in the UK market
- Respond to client and internal enquiries with speed and accuracy on same working day basis
- Preparing quotations on a timely basis
- Implement domestic and international transport / freight operations routinely.
- Manage Temporary & Definite import/export Customs procedures & documentation accurately with clear focus on risk prevention
- Prepare and distribute event tariffs, order forms and shipping guidelines on a per event or per shipment basis
- Support and occasionally lead onsite teams in delivering client operations
- Be present onsite to perform and oversee client operations as required
- Attend client meetings as required
- Maintain strong personal networks with clients, agents, venues and suppliers
- Maintain clear, accurate & concise files & records (electronic and/or hardcopy)
- Work closely with other teams by accurate interpretation and feedback of the client brief and monitor progress in order to deliver successful events.
- Conclude invoicing on a timely basis and utilise tight credit control procedures to maintain debt at levels acceptable to the business.
- Prepare, monitor and report on individual budgets, highlighting areas of concern where necessary to senior management.
- Remain vigilant on H&S and other compliance issues at all times and when necessary take appropriate corrective actions where company standards are not met.
Qualifications
GCSE Maths English and Georgraphy or equivalent (A-C grade) is essential
Knowledge
- Experienced gained with the Exhibition and Events Industry along with international and customs procedures would be preferred but is not essential.
- Good understanding of Financial acumen and good numerical ability is essential
Essential Skills
- Good Communication (verbal, written and listening skills), with excellent spelling, grammar and the ability to produce error-free documents
- Proficient in the use of Microsoft Office: Outlook, Word, Excel
- Self motivated and capable of managing own time and prioritising
