Due to continued growth, a fantastic opportunity has arisen for an Accommodation Administrator to join our busy team reporting to the Pilot Administration Manager.

Primary purpose of the role: This exciting role will act as the ‘Front of House’ for the UK Accommodation team and will be supporting the team in the preparation and delivery of Trainee accommodation in Southampton, Bournemouth and Coventry. With experience in administration within a similar role in property/student accommodation background, the successful applicant will be able to manage a variety of administration tasks whilst maintaining excellent communication and customer service skills.

  • Key responsibilities and tasks

  • Work closely with the Ab initio – Trainee Administration team to provide an effective service to Trainee Pilots

  • Respond to Trainee and Landlord/Agent enquiries in a warm, professional and confident manner

  • Monitor the Ab initio Inbox to ensure that all general enquiries and repairs are promptly dealt with

  • Liaise with Trainees and Landlords/Agents to effectively manage responsive repairs and cyclical redecoration programme to Trainee properties

  • Work alongside a robust property cleaning schedule to liaise with contractors to ensure that properties are cleaned effectively

  • Monitor and log utilities and TV Licenses for trainee accommodation whilst maintaining excellent working relationships with suppliers

  • Ensure that Council Tax invoices and Exemption Certificates are arranged in an efficient, timely manner

  • Coordinate the purchase of items for trainee accommodation through the use of a purchase order system adhering to Company procedures

  • Carry out general administrative duties

  • Assist with welcoming Trainees to UK Accommodation in a friendly and approachable manner

  • Communicate effectively with all members of the accommodation team and other teams within the business to manage Trainee deposits and extensions

Person Specification

The successful applicant will hold a strong level of experience in administration and will be from a property background. They will be approachable and confident with a highly flexible attitude and will be able to deal with customers and colleagues from a diverse background.

  • Educated to GCSE level A-C (or equivalent) including English and Maths
  • Excellent customer service experience
  • Experience within a property related role

  • Experience in undertaking administrative tasks

  • Strong communication skills, particularly when influencing others

  • Knowledge of Microsoft Office (specifically Word and Excel)

  • Pro-active, self-motivated and able to work on own initiative

  • Friendly and approachable with the ability to work well under pressure

Working Hours: Monday – Friday 09:00 – 17.30

You may be required to provide additional cover throughout the weekend.
