3.1 Candidate and jobseeker information

Depending on how you use DefiniteJobs, we may collect:

  • your CV, cover letter, profile photograph and other documents you upload;
  • your job title, skills, qualifications, education and employment history;
  • information contained within your CV, including location information where you have included it;

Please avoid including unnecessary sensitive personal information in your CV or profile.

Where you use DefiniteJobs as an employer, recruiter or recruitment agency, we may collect:

  • your name, business email address, telephone number and job title;
  • your organisation’s name, address, website and company details;
  • your account and login information;
  • vacancy details, job descriptions and recruitment requirements;
  • campaign settings, application targets and budgets;
  • information relating to pay-per-application campaigns;
  • billing and invoice information;
  • communications with DefiniteJobs;
  • support enquiries, complaints and feedback; and
  • information used to assess whether you are an employer or recruiter.

We generally process this information because it is necessary to provide the service requested by the candidate and perform our contract with them.

5.2 Applying for a specific job

When you apply for a vacancy through DefiniteJobs, you instruct us to send or make your application information available to the employer or recruiter responsible for that vacancy.

The information provided may include:

  • your CV;
  • your candidate profile;
  • your name;
  • your email address;
  • your telephone number; and
  • other information you submit as part of the application.

This processing is necessary to provide the job-application service you requested.

5.3 Optional CV availability for other suitable roles

When creating an account through Quick Apply, you may be offered an optional checkbox stating:

“Make my CV available to employers and recruiters looking for similar roles.”

This checkbox is optional and is not selected by default.

If you select it, you give DefiniteJobs permission to use your CV and candidate profile for potentially suitable opportunities, including roles for which you have not directly applied.

Where you opt in, we may:

  • include your CV and profile in our active candidate database;
  • search and filter your information;
  • match your profile against potentially suitable vacancies;
  • allow suitable employers and recruiters to view your CV or profile;
  • allow employers and recruiters to receive your contact details;
  • send your CV or profile to an employer or recruiter where we reasonably believe an opportunity may be relevant; and
  • contact you about potentially suitable roles.

The lawful basis for this activity is your consent.

Selecting this option does not guarantee that you will be contacted, interviewed or offered employment.

We intend to make opted-in candidate information available only in connection with employer and recruiter accounts. We may carry out checks when deciding whether an account should receive candidate access, although no verification process can guarantee the identity or conduct of every user.

5.4 Withdrawing CV-sharing permission

You may withdraw permission for DefiniteJobs to make your CV available for other suitable opportunities at any time by emailing:

After your request has been processed:

  • your CV will be removed from active candidate matching;
  • your profile will no longer be offered to new employers or recruiters under that permission; and
  • you may continue using DefiniteJobs and applying directly for advertised jobs.

Withdrawing consent does not affect processing that lawfully took place before withdrawal.

It also does not automatically delete copies already received by an employer or recruiter. You may need to contact that employer or recruiter regarding information they already hold.

5.5 Employer and recruiter services

We use employer and recruiter information to:

  • create and manage employer accounts;
  • publish and manage job advertisements;
  • operate pay-per-application campaigns;
  • manage application targets and campaign budgets;
  • provide candidate applications;
  • provide access to opted-in candidate profiles;
  • process purchases;
  • issue invoices;
  • provide customer support;
  • review account eligibility; and
  • protect DefiniteJobs against misuse.

We generally process this information because it is necessary to provide the service purchased or requested by the employer or recruiter.

5.6 Payments for applications and candidate access

DefiniteJobs may charge employers and recruiters for:

  • job advertisements;
  • candidate applications;
  • access to opted-in candidate profiles;
  • recruitment campaigns; and
  • other recruitment services.

Any payment is a fee for the advertising, matching, platform-access or recruitment service provided by DefiniteJobs.

Payment does not transfer ownership of a candidate’s CV, profile or personal information to the employer or recruiter.

5.7 Marketing emails

When creating an account through Quick Apply, you may be offered a separate optional checkbox stating:

“Email me relevant jobs and career opportunities.”

This checkbox is optional and is not selected by default.

If you select it, DefiniteJobs may use your email address and relevant profile information to send you:

  • relevant job opportunities;
  • career opportunities; and
  • related DefiniteJobs communications.

The lawful basis for these marketing communications is your consent.

Marketing emails will identify DefiniteJobs as the sender and include a method of unsubscribing.

You may withdraw marketing consent at any time by:

After you unsubscribe, we may retain limited information on a suppression list to prevent further marketing emails from being sent to you.

Account, security, purchase, application and service-related communications are not marketing messages and may still be sent where necessary.

5.8 Website operation and improvement

We use information about website use to:

  • operate and maintain DefiniteJobs;
  • understand how visitors use the website;
  • identify problems with pages and features;

  • improve the candidate and employer experience;

  • candidate matching; and
  • job recommendations.

Automated tools may be used to match candidates with potentially relevant jobs or help identify suitable candidates for employers and recruiters.

These tools assist with organising and matching information. DefiniteJobs does not make final hiring decisions on behalf of employers or recruiters.

Candidates are not automatically rejected from employment solely by DefiniteJobs’ automated systems.

7. WHO WE SHARE PERSONAL INFORMATION WITH

7.1 Employers and recruiters

We may share candidate information with an employer or recruiter where:

  • the candidate applies for that organisation’s vacancy;
  • the candidate has opted in to CV availability;
  • we identify a potentially suitable role for an opted-in candidate; or
  • sharing is necessary to provide a recruitment service requested by the candidate.

Once information has been received by an employer or recruiter, that organisation is responsible for how it handles and uses the information it holds.

7.2 Hosting and technical providers

DefiniteJobs uses 123 Reg for website or technical hosting services.

We may share or make personal information accessible to providers that support:

  • website hosting;
  • website maintenance;
  • database storage;
  • backups;
  • technical troubleshooting; and
  • security.

7.3 Payments

We use WooCommerce and Stripe to manage and process payments.

Information necessary to process a payment may be provided to those services.

DefiniteJobs is primarily focused on UK jobs and candidates, but overseas employers and recruiters may use the service and candidates may apply for jobs outside the UK.

Your information may therefore be made available outside the UK where:

  • you apply for an overseas vacancy;
  • the employer or recruiter responsible for a vacancy is located overseas; or
  • you have opted in to CV availability and your information is matched with a potentially relevant overseas opportunity.

Where applicable, we will handle international transfers in accordance with applicable data-protection law.

Privacy and data-protection laws outside the UK may differ from UK law.

9. HOW LONG WE KEEP PERSONAL INFORMATION

Candidate accounts, profiles and CVs are generally kept until the candidate asks us to delete them or they are no longer required for the purposes described in this Privacy Policy.

Inactive accounts may be reviewed.

Application records may continue to be stored after the relevant vacancy has closed so that we can:

  • maintain candidate application histories;
  • provide account functionality;
  • respond to enquiries;
  • investigate complaints; and
  • handle disputes.

When you withdraw CV-sharing permission, your profile will be removed from active CV matching.

When you unsubscribe from marketing, we may keep limited information on a suppression list so that we can respect your request.

We may retain information for longer where it is necessary to:

  • comply with a legal obligation;
  • investigate misuse;
  • respond to a complaint;
  • protect our systems; or
  • establish, exercise or defend a legal claim.

10. DATA SECURITY

We use technical and organisational measures intended to protect personal information.

  • password-protected WordPress administration accounts;
  • limiting administrative access to trusted individuals;
  • restricting and monitoring development-team access;
