We are excited due to our continued growth to be recruiting for an Operations Administrator to assist with operational support across Ashton Fire. The successful candidate will have a proactive and detail orientated approach to meet the main duties of the role outlined below.

  • Initiate and undertake management system policies and procedures reviews.
  • Data: support in the adherence to data protection policies and procedures as directed.
  • Corporate Social Responsibility (CSR): support the development of ambitious CSR objectives, documenting evidence that these are being met.
  • Maintain our website and support marketing initiatives across web, social media and print.
  • Work closely with the Operations Manager to support effective management of client contractual agreements. Maintaining our contracts register and liaise with clients where required.
  • Complete initial review of contractual agreements, with the support and training provided.
  • Assist in maintaining our accreditations, affiliations, certifications and pre-qualification portals, ensuring required documents are updated, company details are accurate and complete.

General operations support

  • Support team and Operations Manager in completing internal projects to achieve company objectives.
  • Document control procedure and template maintenance.
  • Ensure internal procedures are followed and documents updated in line with branding guidelines.
  • Taking minutes at relevant meetings, communicating actions and following up on completion.
  • Assist with any day-to-day IT needs for the team as directed.
  • Provide support to the project and finance teams in following up late invoice payments with clients as needed.

Person Specification

  • Multi-tasking team player with the ability to work alone and use initiative.
  • Proficient in Microsoft Office, particularly Word, Excel and Outlook.
  • Proficient in IT with a demonstrated ability to rapidly learn new software and systems.
  • Excellent organisation and time management skills.
  • Attention to detail.
  • Good problem-solving abilities.
  • Flexible on taking on new tasks outside the core role.
  • Fluent English (spoken, written and comprehension).
