Salary: £38,400 – £48,000 per year

The Reception / Office Manager will be the first point of contact for clients and colleagues entering our new office in Victoria and will represent the business in a welcoming, warm and professional manner. You will oversee the daily smooth running of the office, meeting rooms, future staff break out areas and reception area and relay calls and flow of communication throughout the business, often being the ‘go to’ person.

The successful incumbent will be a real people person, who enjoys the challenges that a growing business has to offer and thrives in problem solving and troubleshooting – that’s everything from emergency lunch runs for last minute meetings to missing laptops.

This is a varied and demanding position, where no two days are the same in a busy, collaborative office.

Reception duties include:

* Welcome visitors in a friendly manner and direct them to the correct person or team

* Deal with telephone calls as the first point of contact, take messages for other staff and managers and answer general enquiries

* Meeting rooms – including booking, set-up, AV equipment, prepare refreshments, layout and clear away buffet lunches, and escort visitors from reception

* Deal with incoming and outgoing post (including franking, special deliveries and couriers)

* Respond to the general enquires inbox, answering queries in a timely manner

* Keep the office, reception and meeting rooms clean and tidy, unstocking and putting away goods

* General administration and compliance. Including the logging and storing of documents as well as support including the typing, expenses and assisting with presentations, photocopying, binding, scanning, and archiving

Office Management duties include:

* The day-to-day running of the office including the procurement and replenishment of equipment, supplies, materials (such as stationary & ink) and kitchen goods are topped up and accessible and ordered in good time

* Manage the office & f­acilities budget, filing purchase invoices, ensuring that spend is closely monitored and accurately recorded, within budget, is cost-effective and provides good value for money

* IT support contact, ordering new IT equipment and setting up and assisting new starters with IT equipment, phone and log in details

* Liaising with the building facilities team in relation to the building, repairs, security, waste removal and cleaning company

* Health, safety and security (both people and data), including managing access to information, ensuring compliance, insurances, contracts and relevant certificates and due diligence.

* Organise and review office security, first aid training, fire warden duties and general administrative processes and induct new staff on relevant office processes, including data protection, security and fire safety.

* Promote recycling, sustainability and reduction of office waste.

* Implement any internal office reorganisations whilst ensuring minimal disruption to staff.

* Adhoc duties such as sourcing corporate gifts, ordering business cards and assisting with company away days and Christmas parties

Who We Are Looking For

* Experience of facilities management and health and safety

* Excellent communication, organisiational and time management skills

* A can do, roll your sleeves up and get stuck in attitude with lots of initiative to boot!

* Problem solver and solutions focused

* Ready to jump in and help where and when required outside of job requirements

* Positivity, great sense of humour and desire to play a key part in a fast growing company

* Ability to work in the UK and ability to obtain UK security clearance
