Hours: Monday, Tuesday, Wednesday 1-7pm, Thursday 9-4.30pm, Friday 8-2pm

Job summary:
To receive, assist and direct patients in accessing the correct service or healthcare professional in a courteous, efficient and effective way. Responsible for ensuring the smooth running of the reception area.
Job responsibilities:
Reception duties:
• To be a first point of contact for patients, other health professionals and visitors, at all times conveying a professional image
• Answering the telephone and taking and passing on messages
• Booking appointments with the most appropriate person
• To ensure requests for home visits are dealt with in the correct manner
• To register new patients
• Ensuring rooms are allocated prior to the beginning of each session
• Assisting visiting staff and visitors
• To have a thorough knowledge of practice protocols and procedures
• Accepting requests for repeat prescriptions, checking the fax and prescription box for repeat prescription requests
• Processing repeat prescriptions
• To have an in-depth understanding of the electronic prescription service
• Ordering of forms and stationery
• Sorting the mail
• Photocopying insurance medicals and reports
• To produce letters for patients as required
• To understand the GP Links and deal with requests for records
• To print off the appointment book for the following day when on an evening shift
• To manage the MJOG text reminder service
• Arranging transport for patients
• Organising emergency ambulances as required
• Filing results and any other relevant documents in patients’ notes and re-filing notes after use
• Maintenance of patients’ notes
• Charging patients the appropriate amount for private work, providing a receipt to the patient and recording the charge in the cash book
• Helping with the sorting of filing in new medical records in order that they are in the form used in the practice
• To fax referrals and correspondence as directed
• Periodically checking the fax to make sure it is operational and has an adequate paper supply before leaving in the evening
• Chasing results for the doctor
• To assist the clinicians as required
• To make tea and coffee for clinicians am and pm
• To ensure rooms are stocked prior to surgeries starting
• To have a thorough working knowledge of the telephone system and to ensure out of hours phone messages are working and appropriate
• Scanning of medical correspondence and results
• Opening and locking up the surgery ensure security is maintained at all times
• To ensure visitors sign in and are escorted during their time in the practice
• To be fully conversant with the practice’s IT system and to ensure patients contact details are verified at every contact
• To understand what ‘QOF’ means and to act appropriately in dealing with pop-up alerts
• To assist patients in completing their health questionnaires
• To enter accurately any health data provided by patients onto the clinical system
• To maintain confidentiality at all times
• Arranging staff Saturday rota
• Responsibility for organising cover for holidays, sickness and compassionate leave
• Making effective use of training to update knowledge and skills
• Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
• Actively reporting of health and safety hazards and infection hazards Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
