Salary: £30,000 – £32,400 per year
Our client is looking to recruit a Studio & Financial Coordinator to assist with Accounts and Human Resources Administration and the smooth day-to-day running of the Interior Design Studio.
Responsibilities
To liaise and coordinate with Design Project Manager and other Senior Members of the team on general management within the Studio.
To work with the Design Project Managers, assisting with team planning and delegation of project duties.
To oversee the correct procedures are followed for documentation/email correspondence electronic filing.
To collate Project Updates for Design Projects.
To work with the Senior Management team to contribute to the written standards and control procedures for the design team.
To oversee and develop the Rapport software, ensure it is running smoothly and maximizing its capacity with the Design Manager.
To liaise with software supplier and set up training programs/systems for key team members and new starters, input client details, and generate project numbers.
To assist with timesheet collation and approvals.
To prepare and deliver the induction pack for new starters – setting up desk, welcome and induction, Rapport training, all IT requirements, and organising their additional training and handover with other members of the team.
To ensure any documents issued are of the company format and standard.
To track employee sickness and annual leave.
To prepare all client financial correspondence (request for payment, receipt of funds, monthly fees and expenses, balance invoices and statements) for the Senior Management to review and approve, following all relevant procedures and filing systems.
To record all expenses received from Accounts (non-job related e.g. Addison lee, post etc.) on Rapport.
To update All Current Project Accounts spreadsheet, when invoices are issued or monies received and provide an overview report for Senior Management review on a weekly basis (issued end of each week).
To keep the Design Programme updated weekly.
Ensure that the building is in order – light bulbs, meeting room are clear and tidy, desks and common areas are tidy and deal with maintenance issues.
Manage stock and order where necessary stationary and other office needs on a weekly basis for the showrooms, studio and kitchens.
Manage meeting room diary and prepare the meeting room for all meetings.
Ensure all clients and visitors to the studio are greeted and looked after with drinks etc.
To assist with all general administrative duties which ensure the smooth day-to-day running of the Design Studio
