Salary: £27,600 per year

A fantastic Opportunity to join a well established organisation based West of Thatcham.
Our client is looking for an individual to provide administrative support and assistance to the HR Manager for a maternity 9-12 month contract, working 8:30am – 4:30pm Mon-Fri with the offered salary of £27,600.

Duties will include but are not limited to:

Recruitment Administration:

*To be responsible for, and oversee the administration of Recruitment.
*Proof reading and placing employment advertisements, responding to enquiries, arranging and scheduling interviews.
*To be the front person who chaperone’s candidates to and from interviews.
*Responding to applicants as directed by the HR Manager.
*Validating application forms for complete information with the applicant.
*Seeking and authenticating written references with the author.
*Maintaining and administering the Central Register with compliancy details, ensuring at all times that it is up to date and in line with Safer Recruitment regulations.
*Administration of DBS forms online applications and in paper format.
*Administer application checks such as career history and dates, the right to work in the UK as required to satisfy the Immigration Border Agency and compliancy regulations.
*Reference requests and verification
*Administer contractors’ DBS clearances and the Contractors’ database.

Training Administration:

*Arrange in-house training as directed by the HR Manager.
*Update the HR training matrix, keeping the HR Manager advised of relevant matters.

Ad hoc HR Duties:

*Maintaining and continually monitoring HR databases with relevant personnel details to a high degree of accuracy and confidentiality.
*Maintaining good records of safer recruitment legislation and vulnerable environment compliancy.
*Oversee and administer the organisations email ‘in box’.
*Typing correspondence on behalf of the HR Manager, for example: responses to prospective applicants, invitations to interviews and reference requests, with a high degree of accuracy.
*Preparing Employment Induction papers and documents in advanced of Induction meetings with new staff.
*In the absence of the HR Assistant, make requests of new email accounts and software access for new members of staff, in liaison with the HR Manager.
*Improving/creating new filing systems and maintaining them.
*Ensuring good communication between the HR Department and staff.
*Diary co-ordination of the HR Manager when required.
*Arranging and confirming appointments and meetings when required.
*Organise catering for meetings when required.
*Maintaining personnel files to a high degree of specified criteria and confidentiality.
*Organising and storing archived paperwork, documents and computer-based information, maintaining a high degree of confidentiality.
*Instigate requests to the appropriate department/companies for repair of operative equipment when necessary.
*Keep the HR Manager advised of matters arising.
*Keep the HR Department supplied with stationery.
*Photocopying and collating documents as and when needed.
*Take accurate minutes and or file notes at meetings as and when directed by the HR Manager.
*Other tasks, as directed by the HR Manager.

*Ability to recognise and carry out a high level of confidentiality and discretion.
*Highly organised person who is able to prioritise tasks and deliver completed work to tight deadlines.
*Flexible and willing to accommodate different working processes.
*Ability to act on own initiative.
*Strong drive and motivation to complete daily duties.
*Excellent inter-personal skills and telephone manner.
*Amenable in team participation.
*Computer literacy (Microsoft Office, including Outlook, Excel, Powerpoint and Word) is essential.
*Be able to stay calm in difficult situations.
*Note taking skills that transcribe accurate accounts of formal meetings.
*Good communication skills, both verbal and written.
