What is the Academy Secretary role?
Based at one of their campuses in Southampton the role of Academy Secretary is a key one in their world-renowned Category 1 Academy. They have a fine reputation for being one of Europe’s most profitable and productive academies and this role plays a major part of its continued success.
Reporting directly to the Academy Manager, you will lead in the administration and organisation of the Academy programme. The Academy Secretary role is extremely varied, including the handling of multiple projects and programmes. You must have the ability to flex between different areas of work, prioritise and keep calm in pressurised situations.
You will be a member of the Academy Management Team, assisting in the delivery of the Academy Performance Plan and contributing in a significant way to the Academy objectives. Supporting Academy audits and minuting meetings will be a key part to the Academy Secretary role.
Within the Academy Secretary role you will be trusted with high levels of confidentiality at times and your personal qualities should reflect this. You will be honest and trustworthy as you help monitor the academy budget and raise financial agreements in relation to other clubs, players and organisations.
As Academy Secretary you will lead the administration support to the Academy across all age groups from 9 to 18 and support other departments within the Development and Support Centre where necessary including education, coaching, welfare and many external coaching sites.
Some travel is also part of the Academy Secretary role as you will assist in the European games and tournaments programme making pre-tour risk assessment visits where required and act as tour leader on occasions when teams compete abroad.
Other responsibilities as Academy Secretary include:
• Submitting appropriate records to the relevant football bodies as required under Academy Regulations;
• contributing to the management of the day to day Academy operation;
• leading on numerous projects such as Academy branding, Academy brochure, audit tool production and events;
• handling all player registrations within the academy.

They are looking for candidates who have a proven track record in administration, ideally within a football environment. Exceptional attention to detail and outstanding organisational skills are vital, as well as being a first-class all-round communicator and a real team player who’s also:
• Personable and approachable.
• Highly IT-literate with strong keyboard skills.
• Personally committed to achieving objectives.
The competencies which are required for the Academy Secretary include:
Experience
• Experience of working within a Secretarial or Administrative role.
• Understanding of Premier League and Football League guidelines.
• Knowledge of the EPPP categorisation system.
Qualifications (incl. certifications)
• NVQ L2 in Business Administration or equivalent.
Skills
• Outstanding IT and Administrative Skills.
• Ability to effectively multi-task.
• Ability to work efficiently without supervision in a pressurised environment.
• Excellent telephone manner.
• Good communication and recording skills.
• Excellent organisational skills.
