Legal Administrator – Commercial Property (Housebuilders) – Norwich

Competitive salary + benefits – 4 or 5 full days per week considered

Our client are seeking a proactive and efficient candidate with administration and or secretarial experience to provide professional, proactive, high level secretarial/administration support in their Commercial Property department.

This role will involve you supporting a Commercial Property Partner, one on one, although where needed, you will support other areas of the department.

It is important to note that although there are secretarial aspects to the role, you will not be expected to carry out dictation as part of your daily/regular tasks.

will include:

  • Preparing draft contracts, transfers and leases upon receipt of reservation
  • Issuing contract packs and links to data rooms to buyers’ conveyancers
  • Scanning of hard copy correspondence and documents and e-filing in our clients document management system
  • Preparing engrossment documents for signature
  • Preparing completion statements, accounts forms and bills
  • Monitoring receipt of funds and liaising with Accounts to ensure outgoing payments sent
  • Dating completed transfers and leases, scanning and sending hard copies to buyers’ conveyancers
  • Requesting DS3s and consents to dealing from lenders, scanning and sending to buyers’ conveyancers once received
  • Assist in maintaining compliant and accurate file management and office systems;
  • File opening and closing and ensuring that all electronic filing is up to date and maintained at regular intervals;
  • Provide support to other administrators within the team and provide cover as and when necessary;

Skills required:

  • Understanding and efficient use of a variety of software packages such as Microsoft Word, Excel and Outlook to produce correspondence and documents to a high standard;
  • Proof-reading 
  • Ability to take and make internal and external telephone enquiries politely and professionally;
  • Adaptable and flexible
  • Excellent communication and organisational skills
