Salary: £30,000 – £32,400 per year
Opportunity to join a small, professional services organisation based in central Guildford as Office Manager. This busy and varied role will suit an experienced and confident administrator. The role is varied, at times demanding and pivotal to the success of the fee earning partners.
Office Manager – About The Role
- Reception duties – including phone calls and post.
- Office stationery control.
- Office filing.
- Archiving of files onsite and liaising with offsite storage.
- Typing office correspondence.
- Client contracts / engagement letters.
- Health and safety procedures.
- Manage the cleaning contract and the general condition of the office.
- Manage the alarm and security contract.
- Facilities and repairs – including organising a trusted selection of tradespeople to rely on.
- Manage and coordinate internal IT requirements.
- Data entry for invoices, time sheets, bank receipts etc.
- Producing all relevant WIP and debtors reports.
- Assisting in debt collection – reviewing aged debtors reports and producing statements as appropriate and chasing up with clients.
- Anti-money laundering systems and maintenance.
- Company secretarial systems and maintenance.
The successful Office Manager will have:
- Minimum 5 years experience in responsible administrative role.
- Excellent people management skills with a proven track record in this area.
- The successful candidate will be able to operate with minimal input from senior management, exercise excellent judgement and decision making and be totally customer service driven.
- Excellent attention to detail.
- Excellent communication skills, both verbal and written and the ability to communicate effectively at all levels.
- The post-holder with be confident in both when to make a decision, and when to seek further clarification on a decision.
- Self-starter with the ability to demonstrate innovation and drive.
