Currently recruiting for an Administrator to work for a Local Authority based in Sutton.
To provide an efficient, flexible, accurate and sensitive information management service for the ICount Registers of disabled children in Lambeth, Croydon, and Sutton, and of people with Learning Disabilities in Lambeth.
To be the first point of contact for all enquiries regarding the ICount Register, providing a reception and telephone service sending out information to users and families, processing applications and issuing ICount cards.
To promote the ICOUNT card with providers of goods and services to enable them to give preferential treatment to people with disabilities
To work as a member of an Administration team and provide emergency backup to other team members as required
Main Duties and Responsibilities:
To administer the ICount register; this includes sending out application packs, typing letters and reports, processing applications, data entry, filing,, sorting and distributing post, undertaking mail-outs of profiles, and attending and minuting ICount meetings.
To develop and implement strict procedures to ensure that sensitive personal data is secure and processed in accordance with the Data Protection Act and Council requirements.
To respond sensitively, courteously and efficiently to queries from providers, service users, To log all information on the ICount database at each stage of the application process, ensuring accuracy and timeliness. Forwarding all completed applications to the relevant borough officer and ensuring links with the relevant officer(s) are built up and maintained.
To provide managers and colleagues with statistical data on registrations and applications using the ICount database.
To develop and maintain the ICount Website and liaise with IT on such matters.
To create mailing labels for internal and external colleagues and produce statistical reports as required.
Ensure all information leaflets and application forms are kept up to date in line with changes in local and national policy.
To build up and maintain links with organisations that recognise the ICount card and to promote ICOUNT to other organisations so it is more widely accepted.
To maintain regular supplies for the ICount Register such as stationery and other consumables, using own initiative to place orders as necessary.
To assist the Business Support Manager in maintaining and improving administrative systems.
To prepare for and engage in regular one-to-one meetings and appraisals with the Business Support Manager.
This position is part time Monday – Friday 09.00am – 12.45pm.
