A cornerstone of any business is accountability and therefore this newly created role of Administrative Assistant is a key role in the smooth running of the company. Things sometimes go wrong however and the successful candidate will no doubt have to handle flak, juggle balls and deal with difficult situations so we are looking for strength of character and experience as much as technical ability. The role will report into the Finance Manager and deal with all departments in the business.
As an Admin Assistant you will:
• Work in partnership with other groups, teams, customers and suppliers.
• Be punctual at all times and be prepared to work extra hours when required.
• Consolidate Weekly Timesheets for the Finance Manager.
• Consolidate Weekly Activity Reports for Manufacturing and Site Teams.
• Deal with Incoming Enquiries via Telephone.
• Assist the Sales Team with preparation of Presentation Materials
• Attend regular team meetings to share information and learning, contribute to continually improving services and achieve consistency of delivery.
• Produce reports as necessary from the relevant systems so that service performance can be monitored and improved.
The ideal Admin Assistant will hold the following skills and experiences:
• Previous experience working in an administrative role in an office environment.
• IT literate, Proficient user of Microsoft Office.
• An understanding of the admin function and office protocol.
• Ability to demonstrate numeracy and a high degree of accuracy.
• Well organised with an ability to prioritise and manage conflicting demands effectively.
• Ability to use a communication style, which is appropriate to the audience.
• Genuine enthusiasm for providing a high standard of customer service and an ability to promote a positive attitude within the team.
